Understanding Your Travel Policies

Knowing what you're allowed to book helps you save time and stay compliant with your company’s travel policy.

Here’s how to view, interpret, and use those policies while booking flights, hotels, and car rentals.


Step 1: View Your Policy

You can access your travel policies from almost anywhere on the site.

  • Click View Policy in the header to open your travel guidelines.

  • Policies are categorized into three sections:

    • Flights

    • Hotels

    • Car Rentals


Step 2: Understand Policy Details

✈️ Flight Policies

Flight rules may be grouped by trip length:

  • Less than 4 hours

  • 4–8 hours

  • More than 8 hours

Your policy will show:

  • Whether results include all flights or just those within policy

  • Price limits based on trip length

  • Fare types and content allowed

  • International flight rules (if enabled for your account)


🏨 Hotel Policies

Hotel policies are organized by stay duration:

  • 1–3 days

  • 4–6 days

  • More than 6 days

Similar to flights, hotel policies define:

  • Daily price limits

  • Approved hotel star ratings


🚗 Car Rental Policies

Car rental policies are usually based on the number of rental days.

  • Your policy may include:

    • Daily price caps

    • Approved or disallowed vehicle types (e.g., no luxury or premium cars)


💡 Pro Tip:
When searching for flights, hotels, or rental cars, use the filter tools to stay within policy:

  • Use the “Within Policy Only” filter to hide options that require approval.

  • Look for the green dot next to a booking — it means the option is within policy.

  • Click the green dot to see which policies it meets.

  • If you see a red dot, that booking is out of policy and may require approval. Click the red dot to view the policy violation.

  • For hotels, note that some rooms may be in policy and others may not — check the green/red dots for each room individually.

  • If your filters return limited results or you want to widen your search again, scroll down and click Clear Filters to reset all settings.


Step 3: Make Confident Bookings

  • Use your policy page and green dot indicators to stay in bounds.

  • If a booking is out of policy, review the reason and consult your approver if needed.

  • For seamless approvals and faster travel booking, stay within policy whenever possible.
