Step 1: Open the Traveler’s Profile
Choose the traveler you're booking for from the dropdown and make any search to log into their traveler account.
Click on your profile menu in the top right corner.
Select Edit Profile for the traveler you’re managing.
If the traveler has any assigned travel approvers, you’ll see them listed at the top of the profile page.
Step 2: Review and Complete Traveler Information
Carefully review the existing information for accuracy. Add any missing details to ensure smoother bookings later.
We recommend filling in the following:
Passport details – Required for international travel
Travel preferences – Seat, meal, and other preferences
Loyalty program numbers – To ensure the traveler earns points
Travel visa info – If traveling to a destination that requires one
Card details – So the traveler doesn’t need to enter this info during each booking
🔒 Note: For security purposes, card numbers are obscured once entered. No one — including you — can view the full number after it's saved.
Step 3: Save and Lock In the Updates
Click Add after updating any individual section — this locks in your changes.
After updating all relevant fields, scroll to the bottom and click Save to finalize the updates.
🔁 Important: If you change the traveler's personal information (e.g., name or email), be sure to remove and re-add their payment card. This prevents identity mismatch issues when booking with that card.
Step 4: Review Their Booking Policies
To help you make compliant bookings, review the traveler’s policy limits:
Domestic Flight Policies
International Flight Policies
Hotel Policies
Car Rental Policies
This ensures you’re aware of price limits, star rating rules, and eligible rental car classes for each trip component.
Your traveler’s profile is now ready, and you can confidently begin booking on their behalf.
