Step 1: When Approvals Are Required
In-policy bookings usually do not require approval and can be confirmed immediately.
Out-of-policy bookings often require approval from someone assigned to review your travel.
Example: A car rental over $100/day or a hotel outside your company’s approved star rating may require approval before it can be booked.
Step 2: Requesting Approval
When you select an out-of-policy option, you'll see a red dot next to the booking.
Click Select for the item you’d like to book.
Just below the booking details, you’ll see the approvers assigned to your profile.
If you have multiple approvers, choose who to send the request to.
Enter any required booking information.
Accept the terms and conditions.
Click Confirm Booking.
You can also choose to Save the booking to your trip if you want to come back to it later.
Step 3: What Happens After You Submit
Once submitted:
Your booking enters a “Pending Approval” state.
Your approver receives an email notification with a link to log in and approve or deny your request.
You can track the status of the booking on your Trip Page.
Be sure to rename your trip to keep it easy to find later.
💡 Pro Tip:
You can always review your policy by clicking the green or red dot next to any booking.
Green = In Policy
Red = Out of Policy
Click the dot to see which part of the policy applies and why the item may require approval.
If you want to skip approval workflows, consider adjusting filters to only view Within Policy results.
And as always — if you've filtered too far, just scroll to the bottom and reset all filters.
Step 4: Approval Outcomes
✅ If Approved:
You’ll receive a confirmation email for your booking.
The trip page will show the item as Approved and confirmed.
❌ If Rejected:
You’ll receive an email notification explaining the rejection.
The trip page will also indicate that the booking was Not Approved.
You can cancel any pending request directly from the trip page if your plans change.

Approval settings may vary depending on your organization.

Once your booking is confirmed, you're ready to hit the road.
